Closing the Loop: How a Real-Time ERP Integration Eliminated 900 Hours of Annual Manual Data Entry

The Challenge
Ironclad Supply ran their financials, inventory, and manufacturing scheduling through NetSuite – a mature, mission-critical ERP their finance and operations teams depended on daily. Their Shopify store, meanwhile, operated as an island: orders placed online had to be manually re-entered into NetSuite by an operations coordinator, one order at a time.
At their order volume, this consumed roughly 18 hours a week of pure data entry, with the inevitable human error that comes with manual re-keying – mistyped SKUs, quantity mismatches, and shipping addresses transcribed incorrectly. Finance reconciliation between Shopify’s reported revenue and NetSuite’s ledger ran 5-7 days behind, making real-time cash visibility impossible.
They had evaluated several off-the-shelf Shopify-NetSuite connector apps, but each one handled only a subset of their actual data model – none supported their specific combination of multi-warehouse inventory, custom pricing tiers, and manufacturing bill-of-materials logic without significant workarounds.
Our Approach
We built a custom middleware integration layer connecting Shopify and NetSuite via both platforms’ APIs, rather than forcing Ironclad’s data model to fit a generic connector app’s assumptions. The integration was designed around their actual operational reality, not a simplified average-case scenario.
We mapped every data flow required in both directions: orders, customers, and payments flowing from Shopify into NetSuite; inventory levels, pricing updates, and fulfilment/tracking status flowing from NetSuite back into Shopify – with clear rules for which system was the source of truth for each data type.
Given the financial stakes, we built the integration with extensive error handling and reconciliation tooling from day one: failed syncs alert the ops team immediately rather than silently failing, and a daily reconciliation report flags any discrepancy between the two systems before it compounds.
What We Built
- Custom middleware integration layer connecting Shopify Admin API and NetSuite SuiteTalk/REST APIs in near real time
- Bi-directional order sync: Shopify orders create NetSuite sales orders automatically, including custom pricing, tax, and shipping logic
- Real-time inventory sync from NetSuite’s multi-warehouse system back into Shopify, respecting warehouse-specific allocation rules
- Automated customer record matching and creation, preventing duplicate customer entities across systems
- Fulfilment and tracking status sync: NetSuite shipment confirmation automatically updates Shopify order status and triggers customer notification
- Financial reconciliation automation: daily automated matching of Shopify revenue reporting against NetSuite ledger entries
- Manufacturing bill-of-materials awareness: made-to-order products trigger appropriate production workflows in NetSuite automatically
- Error handling and alerting system with a daily discrepancy report and a manual override/replay tool for failed syncs

“Every off-the-shelf connector we tried assumed our business was simpler than it is. eBizTrait built the integration around how we actually operate – multiple warehouses, custom pricing, make-to-order products and all – instead of asking us to change our operations to fit their tool. It’s the difference between a workaround and an actual solution.”
– Director of Operations, Ironclad Supply
Key Takeaway
For businesses running a mature ERP alongside Shopify, off-the-shelf connectors often handle the easy 80% of the integration and leave the operationally critical 20% as manual work – which is usually where all the time and error actually lives. A custom-built integration, designed around the real data model rather than a generic template, is what actually closes the loop between ecommerce and the systems of record the rest of the business runs on.
